HR and IT answers, without the bottleneck.

Your HR team answers the same five questions 200 times a week. Your IT helpdesk has a 48-hour backlog. The answers already exist — they're in your policy docs. A Certant internal chatbot delivers them privately, with citations, on Slack or Teams.

The one-liner
An internal employee chatbot answers your team's HR, IT and policy questions from your actual policy docs — privately, with citations, and without leaving your tenant.

Public chatbots leak. Generic FAQ bots dodge. The shape you want is private + grounded + cited — every question handled like HR would handle it themselves, at any time of day.

What it answers

The same five questions, 200 times a week.

Three categories cover 80% of internal helpdesk volume. The chatbot handles all of them.

HR self-serve

"What's my leave balance?"

Leave balances, parental leave, expense policy, expense thresholds, internal transfer process, EBA entitlements, performance review timelines.

  • Pulls live data from Workday / BambooHR
  • Cites the exact policy paragraph
  • Knows your EBA
IT helpdesk

"How do I request a new laptop?"

Password resets, VPN access, software requests, hardware refresh cycle, BYOD policy, MFA setup, common-app onboarding.

  • Opens tickets in ServiceNow / Jira on request
  • Steps the user through self-serve resets
  • Hands off with full context
Finance & policy

"Is this expense reimbursable?"

Travel policy, corporate card limits, vendor onboarding, signing authority matrix, gift policy, conflict-of-interest declarations.

  • Always cites the policy version
  • Escalates ambiguous cases to a human
  • Logs decisions for audit
The privacy model

Private by default. Sovereign by design.

The single biggest objection to a HR chatbot is "what if my question leaks?". Here's the answer.

Private to the asker

Conversations are scoped to the employee. HR and IT see aggregated, anonymised analytics — what people ask, never who asked what — unless your policy says otherwise.

Stays inside your tenant

Conversations don't train a public model. They don't leave your perimeter. For regulated customers, the whole platform runs on-prem or air-gapped.

Retention you control

Configurable retention windows. Auto-delete after N days, or retain for audit. The employee can see and clear their own history.

Rollout in week one

Five steps. About a week.

The fastest internal chatbot rollouts we've shipped — from greenlight to "live in Slack" — are five days.

Connect docs

Policy PDFs, the EBA, the HRIS, the employee handbook. Certant reads them in place.

Set the tone

Brand voice, fallback messages, "always escalate these topics to a human" list.

Connect Slack / Teams

Native app install. Per-channel or DM-only modes. SSO with your IdP.

Pilot

10–50 employees for a week. Aggregated dashboard shows what's working and where policy is unclear.

Ship company-wide

Roll out to everyone. HR gets their afternoons back. IT clears the backlog.

Your team isn't going to read the policy book. They're going to ask someone. Make sure the someone they ask is private, fast, and accurate.

FAQ

What heads of people and IT keep asking.

What is an internal employee chatbot?

An internal employee chatbot is a private chat surface that reads your organisation's HR, IT, finance and policy documents, and answers staff questions in plain English with citations. It lives where your team already works — Slack, Teams, the intranet, mobile.

What kinds of questions can it answer?

How much leave do I have? What's the expense policy for client lunches? How do I request a new laptop? What's the parental leave entitlement? Which form do I use for an internal transfer? Anything that lives in a policy document, the chatbot can answer with a citation.

Will it leak my private question to ChatGPT or anywhere else?

No. Certant runs inside your tenant. Conversations don't train a public model, don't leave your perimeter, and can be retained or auto-deleted per your policy. For sovereign customers, it runs fully on-prem or air-gapped.

Does it work in Slack and Microsoft Teams?

Yes. Native Slack and Teams apps with DM mode, channel mode, and slash commands. Same answers, same citations, same privacy boundary.

What happens if it doesn't know?

It says so, instead of guessing — and offers to route the question to the right team with full context. Better to say "I don't know, here's who does" than to invent.

Does HR or IT see every question?

You choose. By default, questions are private to the employee asking. Aggregated, anonymised analytics let HR see what people ask most, without seeing who asked what — useful for spotting gaps in policy or comms.

Give your team somewhere to ask.

Private. Cited. Inside your tenant. In Slack or Teams by Friday.
